Travel and Accommodation Overview

This year’s meeting will take place at the Old Thorns Hotel & Resort, a unique destination set in 400 acres of picturesque Hampshire countryside and offering a unique business event experience, with a multitude of world class meeting spaces, as well as extensive leisure facilities on site, including a pool and fully equipped gym.

On arrival you will be able to check in at our private group check in and store your luggage. Luggage and key collection will be available later in the day. Check out is at 11:00am on Friday. Please ensure you let us know of any access requirements when registering.

All rooms are based on sole occupancy and breakfast in the hotel restaurant is included.

Booking

You will be assigned accommodation for the nights of Wednesday 3rd June and Thursday 4th June on your booking.

If you require accommodation for the night before the event for the reasons of travel logistics, please select this in your booking - this must be approved by your manager (we will contact them to ensure approval has been obtained). Extending your booking for any other reason is covered in the FAQ section.

Accommodation extension requests for logistical reasons outside of core event nights will be pending on your booking until we have confirmation.

Accommodation is to be paid by you on your company Amex card. You will receive an email directly from the venue to pay in advance via a pre pay link - this is to speed up the check in process. Please ensure you make this pre payment before the 1st June. If you are a contractor please ask your manager to settle your room at check in on arrival.

Getting To Old Thorns Hotel & Resort

Travel by Plane
If you will be travelling by plane, please book your flights in the normal way via Concur. Please make every effort to share transfers to/from Old Thorns Hotel & Resort with colleagues utilising the same airport.

Travel by Train
The nearest train station is in Liphook, approximately 2 miles away. Liphook is on the main line Portsmouth / London Waterloo, with a travel time to London of 1 hour direct from London Waterloo.

Travel by Car
There is free parking at the hotel. The main car park holds approximately 200 cars with an overflow car park available with parking for an additional 150 vehicles. All cars are left at the owners risk and we advise removing all valuables. There is a dedicated car park for apartment guests to the right of the main car park, behind the Alliss block.

Electric vehicles can be charged using the Tesla charging points in the Old Thorns car park. Tesla charging points have built-in adaptors that enable any electric vehicle to be charged. Charges may apply.

Please note that photos and videos will be taken throughout the event. These may be used for internal and external communications. By attending the event, you consent to the use of your image in these materials.

If you do not wish to be photographed or recorded, please notify the Events Team at events@zoetis-events.co.uk.

By not notifying us, you are providing consent to be included in event photography and recordings.

Sustainability

Sustainability is an important consideration for our event. We're using recycled and reused materials wherever possible.

We advocate the sharing of any airport transfers, car journeys etc; please liaise with your local colleagues to make sharing arrangements.

Colleague Engagement & Wellbeing

The hotel is surrounded by it's own grounds, extensive woodland and commonland. There are many byways, footpaths and bridleways in the area, including a 7 mile route incorporating Section 5 of the Shipwrights Way (Liphook to Liss).

Maps are available from Reception, please ensure you tell someone where you intend to go and wear appropriate footwear and clothing.

The hotel gym and pool are available to all guests on a complimentary basis and will be open for Zoetis guests from 06:30 each morning. Please see hotel website for further information.

If you wish to book any spa treatments, golf tee time, driving range etc, please schedule these directly with the venue outside of event hours i.e. Friday afternoon. These activities will be at your own cost (spa treatments, golf, driving range etc).

Do I need to pay for my hotel?
You will need to pay for your accommodation and breakfast for each night you stay at the hotel. Payment will be taken from your company credit card. The hotel will have your email address so will email you a receipt.

Can I add extras to my room?
There will be drinks available on Wednesday and Thursday evenings at the venue. Any extras added to your room will need to be paid for when purchased and should be in alignment with the expenses policy for your market. All refreshment breaks, main meals etc will be provided as part of the event agenda; any extra bar tabs etc should be settled in line with the expenses policy for your market.

Is it possible to extend my stay beyond the event?
If you wish to extend your stay either before or after the event for reasons other than to accommodate travel, this will be entirely at your own cost and it is your responsibility to make bookings as appropriate for accommodation, travel etc. Please be advised that you may be asked by the venue to move rooms if the class of room you book for your extension is different to that being paid for by Zoetis for the duration of the event.

Do I need to book my own flights, transfers and hotels?
Your hotel will be booked for you by the Jack Morton team but you will need to pay using your corporate AMEX.
If you are planning on arriving by train or plane please make your own bookings in line with travel policy and arrange your transfers, sharing with colleagues making the same journey where possible.
